Leaders from the world’s most respected brands trust Salesforce to solve today’s digital imperative and uncover tomorrow’s potential. We are looking for a highly capable and collaborative individual to join our team, focused on supporting the Executive Marketing team. The Executive Marketing team is focused on building and deepening Executive (C-suite) relationships within Salesforce's top global Enterprise accounts to expand industry influence, build trust and increase Salesforce’s footprint. We create executive programs, starting with thoughtful, data-based segmentation of the audience, that we take through a journey of memorable moments, thought-provoking conversations, and relevant content across brand and media partnerships and Salesforce go-to-market channels.

About the Role

This Senior Coordinator role is a critical dual-function position, focused on providing high-touch operational support and advanced logistics management for the company's most strategic events. The position is primarily responsible for supporting the Executive Partnerships team in third-party event execution and simultaneously supporting the Talent Team with speaker management and operations for proprietary events.

The ideal candidate possesses exceptional organizational acumen, is adept at managing complex event logistics, and can ensure a seamless, "white-glove" experience for both executive attendees and high-profile talent.

Key Responsibilities

Executive Event Coordination & Planning:

This function centers on supporting executive-level event strategy, execution, and attendee engagement at high-value third-party events.

  • Executive Event Execution Support: Provide direct support to the Executive Events Lead in crafting event planning and coordinating execution strategies, often in partnership with media groups or external vendors.

  • Attendee Intelligence & Liaison: Coordinate directly with sales account executives to gather detailed intelligence and key background information on crucial event attendees.

  • Logistics & Onsite Execution: Support event execution by handling guest registration and ensuring high-touch logistical coordination for executive attendees.

Speaker & Talent Management Logistics: This function ensures flawless logistical execution and content readiness for high-profile talent participating in proprietary events.

  • Logistical Oversight: Oversee end-to-end speaker management, acting as the main point of contact for talent. Handle all communication from initial outreach to final logistics.

  • Travel & Accommodation: Manage speaker registration, travel arrangements, and accommodation logistics.

  • White-Glove Experience: Ensure a high-touch experience for VIPs and speakers, handling onsite coordination and immediate support needs.

  • Content Alignment & Briefings:

    • Work with content and keynote teams to align speaker schedules with the overall event strategy.

    • Lead comprehensive speaker briefings to fully prepare talent for their sessions.

  • Asset Management & Deck Building:

    • Manage all speaker assets, ensuring content is collected, approved, and distributed.

    • Build and refine speaker presentation decks, ensuring they are polished and aligned with event messaging (e.g., Dreamforce messaging).

Content Strategy & Approvals

  • Content Support: Partner with the Content Lead on speaker selection, session creation, and securing necessary leadership approvals for participation, ensuring speaker content aligns with strategic messaging.

Tracking & Measurement

  • Reporting & Objectives: Accurately track, measure, and report against all defined team and event objectives and KPIs.

  • Database Maintenance: Continuously update and manage talent database with pertinent information.

Qualifications

  • Strong project management and time management skills

  • Proactive, self-starter with the ability to thrive in a fast-paced environment

  • Ability to develop and execute tactical plans; effectively manage multiple high-visibility projects

  • 5+ years of experience in event/speaker management, preferably in large-scale conferences.

  • Experience working with C-level executives and high-profile speakers.

  • Strong skills in presentation development, speaker prep, and logistics coordination.

  • Familiarity with Rainfocus and event registration systems.

  • Ability to manage multiple work streams, shifting priorities, and tight deadlines.

  • Excellent communication and relationship-building skills.
