The Workplace Services Sr. Coordinator will maintain the day-to-day office services, improve facility operations, and plan and execute office improvement projects and internal office moves. This individual will partner with and form a cooperative relationship between building management, engineering, and/or those responsible for the maintenance and operation of the facility (Building Engineering: including security contractors, janitorial services, and other various aspects of facility operations). Additionally, the Sr. Coordinator will act as another local representative of the Real Estate and Workplace Services team and will assist with office administration and event support. This position requires a high level of hospitality, customer service, critical thinking, and attention to detail.

Responsibilities Include:

  • Provide the first-line contact for the Workplace Services department for all internal and external customers/contractors.

  • Assist with regular maintenance and general upkeep throughout the facility to ensure a clean and safe working environment.

  • Provide a memorable and hospitable guest experience to our employees and guests. Maintain the reception desks, guest services operations and liaison with the building security teams on daily operations.

  • Build strong relationships with vendors and building management; maintain best-in-class service whether issues are resolved in-house or by service providers.

  • Performs monthly facility inspections, updating repair and maintenance task lists. Identify health and safety hazards, maintenance, and repair issues.

  • Maintains the internal Salesforce Workplace workflow/caseload systems daily, and completes open work cases in a timely manner

  • Handle all incoming requests, respond to clients with timely communication, and ensure successful resolution of identified needs.

  • Process purchase orders and change orders, track annual budget spend, and ensure on track. Develop cost-saving opportunities and operational practices.

  • Submit and monitor facility tickets, schedule and manage vendor site visits.

  • Coordinate conference room & event space set-ups to meet the needs of internal/external training and meetings.

  • Build strong relationships with vendors and building management; maintain best-in-class service whether issues are resolved in-house or by one of our partners.

  • Communicate with local business unit leaders regarding office policy, procedures, and events.

  • Handle all guest and employee interactions with the highest level of hospitality and professionalism, ensuring we are always managing expectations.

  • Available and responsive to the global nature of the business and have the ability to work extended hours as necessary

  • May serve as a Workplace Services site representative during interactions with cross-functional groups, as required. Maintain a positive relationship with all the members of the REWS department and outside customers while promoting a positive team environment.

  • Assist Workplace Services Manager with facility and construction projects.

Required Skills

  • 4+ years experience in a Guest Services or Office Services role

  • Familiarity with coordinating outside contractors in support of facility operations and maintenance.

  • Competent in G-Mail, G-Cal and Slack

  • Basic knowledge of critical utility systems, HVAC, mechanical, electrical, and plumbing

  • Customer service experience required

  • Ability to plan, organize, and delegate

  • Proficient in maintaining cooperative working relationships inside and outside of the organization

  • Attention to detail with a proactive and resourceful approach to problem-solving.

  • Must be willing/able to learn and use our internal Salesforce.com software application

  • Natural organizational skills - with a proven ability to multi-task and prioritize and meet deadlines

  • Excellent problem-solving skills takes the initiative to identify and tackle challenges

  • Self-starter: can make decisions on the spot

  • Previous experience in hospitality or customer service is a plus

  • Excellent communication skills, both verbal and written, are essential

  • Must have a great can-do attitude and willingness to complete the job

For New York-based roles, the base salary hiring range for this position is $62,800 to $86,400.

Compensation offered will be determined by factors such as location, level, job-related knowledge, skills, and experience. Certain roles may be eligible for incentive compensation, equity, benefits.
