What you'll do

We are looking for an engaging and results-oriented Executive Assistant to join our APJ organisation providing direct support to our VP, ANZ Sales and Senior Director APJ Marketing in Sydney, Australia. As an Executive Assistant, you will play a pivotal role in keeping busy executives on track and ensuring important meetings are set and activities between departments and outside parties run smoothly and efficiently. Our ideal candidate is highly detailed, proactive and organised with a positive attitude. This person will act as the go-to person for questions regarding our team and will be responsible for a wide range of tasks from assisting with ANZ All Hands meetings, managing both internal and external requests from the Executives and supporting team events. A successful candidate will be proactive, extremely organised, personable and thrive in a fast-paced and exciting environment.
This position is an individual contributor reporting to the VP, ANZ Sales.
Responsibility
  • Provide high-level executive support to the VP, ANZ Sales
  • Engage with executives to set daily schedules, important meetings and book travel
  • Coordinate activities between departments and outside parties
  • Submit expense reports; reviews and approves expenses as a delegate for the executives
  • Draft email correspondence and team communications on behalf of executives whilst partnering with the Comms team where applicable
  • Create and review simple presentations
  • Plan logistics of offsites
  • Manage alias/distribution list for both Senior Directors

Job Designation

Hybrid: Employee divides their time between in-office and remote work. Access to an office location is required. (Frequency: Minimum 2 days per week; may vary by team but will be weekly in-office expectation)

What you bring

Basic

  • 3+ years of experience supporting Executives or Leaders within a high growth organisation
  • Excellent written and verbal communication skills; proficient using Google Suite
  • Strong communication and organisational skills and ability to connect multiple teams across multiple geographic locations in a hybrid in office/remote environment
  • Expertise handling detailed work in an independent, and professional manner

Preferred

  • Experience working for a SaaS Software company
  • Possess high level of integrity and exercise good judgement and discretion
  • Ability to handle multiple assignments simultaneously in time critical situations with an ability to prioritise work in a fast-paced environment
  • Ability to maintain productive work relationships and work collaboratively with legal area specialists, partners and other EA’s to resolve issues
  • Project management experience, including organising participants and preparing meeting materials
