What you'll do
We are looking for a dynamic and hardworking Administrative Assistant to join our Growth Organization. This role supports Vice Presidents across the Growth Organization. You will also provide designated back-up support to the other admins on an ad-hoc basis.
As an Administrative Assistant, you will play a pivotal role, not only in keeping the Growth organization running smoothly and efficiently, but inspiring morale and team building. Our ideal candidate is highly organized, proactive, and collaborative with a can-do attitude. Using your exceptional communication skills and multitasking abilities, you'll effectively help optimize your executives’ time and create value for the organization.
This position is an individual contributor role reporting to the VP, Product Led Growth & Digital Experience.
Responsibility
- Provide support to Growth Org Vice Presidents requiring prioritization of calendars with effective communication across various stakeholders (especially Administrative colleagues), paying close attention to details such as remote locations, time zones, and any technical needs
- Manage travel arrangements and timely filing of expense reports
- Track departmental T&E budget, timely reconciliation of Purchasing card, and partnering with budget operations and FP&A
- Coordinate logistics for off-site or virtual meetings and team-building events
- Maintain updated team alias/distribution lists, Slack channels, and shared team folders
- Support the onboarding of new members of the team
- Provide both routine & non-routine administrative support to management and/or department, handling high volume of competing administrative task requests that require professional discernment on appropriate urgency/prioritization to complete including conference registrations, managing technical- and facilities-related issues, ordering office supplies, and other tasks as needed
- Have a “self-starter” mindset that takes initiative to continuously improve processes for ongoing effectiveness of the department and company as a whole
- Handle details of confidential and critical nature
- Track programs such as recognition, awards, celebrations, etc.
- Partner with the Growth Org EA team, backing each other up as needed
Job Designation
Hybrid: Employee divides their time between in-office and remote work. Access to an office location is required. (Frequency: Minimum 2 days per week; may vary by team but will be weekly in-office expectation)

What you bring
Basic
- 2+ years of experience in an administrative support role
- Experience supporting 100+ employee organizations
- Understanding of purchase order, financials, and headcount
- Understanding of project or program management activities
Preferred
- Bachelor’s degree or equivalent experience
- Experience working at medium to large companies
- Enthusiastic, self-motivated, and with a can-do attitude and aptitude for working in collaborative team environments with a focus on maturity, proactive communication, relationship building skills, and resiliency
- Curiosity and proactive learning mindset to support continuous growth both personally and for the business
- Strong communication skills, verbal and written
- Collaborate well with the broader administrative team
- Highly organized and detail-oriented
- Clarified and confident ethical standards that guide decision making in ambiguous circumstances in your everyday work
- Agile and flexible in response to changing priorities and needs with the ability to pivot quickly where work is generally non-routine in nature and is performed using individual discretion under minimal supervision (balanced with willingness to request clarification/assistance when difficulties arise)
- Ability to manage multiple, concurrent tasks with the highest levels of professionalism, confidentiality, timely turn-around times and client service
- Experience with Zoom, Concur, NetSuite, and Slack applications
- Strong communications and collaboration skills
- Proficiency with Google suite applications
Wage Transparency
Based on applicable legislation, the below details pay ranges in the following locations:
California: $40.14/hour - $58.13/hour
Illinois and Colorado: $38.03/hour - $49.43/hour
Washington and New York (including NYC metro area): $38.03/hour - $52.19/hour
Washington DC: $40.14/hour - $52.19/hour
This role is also eligible for bonus, equity and benefits.
